This Cancellation and Refund Policy (“Policy”) forms an integral part of the terms governing tour and guide/facilitator assignments and shall be binding upon all concerned parties.
- Cancellation by Company After Confirmation
- In the event that a confirmed booking is cancelled by the Company at least five (5) days prior to the scheduled commencement time of the tour, no cancellation charges shall be levied upon the Company.
- In the event that a confirmed booking is cancelled by the Companytwo (2) days prior to the scheduled commencement time of the tour, cancellation charges equivalent to ten percent (10%) of the applicable Company fee shall be levied, subject to a minimum flat rate, as determined by the competent authority.
- In cases where the Company either:
- provides prior intimation to the Tourist regarding inability to report, or
- fails to report for duty (no-show),
cancellation charges equivalent to twenty-five percent (25%) of the applicable Company fee shall be levied, subject to a minimum flat rate.
- Cancellation by Tourist After Confirmation
- No cancellation fee shall be charged if the Tourist cancels the confirmed booking at least 95 days prior to the date of departure.
- A cancellation fee equivalent to ten percent (10%) of the booking amount shall be charged if the cancellation is made before80 -65 days prior to the date of departure.
- A cancellation fee equivalent to fifty percent (50%) of the booking amount shall be charged if the cancellation is made before 65 to 40 days prior to the date of assignment.
- No Refund or 100% cancellationbefore 39 days of the tour departure date.
- Refund Policy
- All refunds, where applicable, shall be processed strictly in accordance with the terms and conditions of the concerned bank and/or payment gateway.
- The back-end operations team shall initiate the refund request through the payment gateway dashboard upon confirmation of eligibility.
- Refunds shall be processed within forty-eight (48) hours from the time of initiation and shall be credited to the original mode of payment used by the Tourist this may take up to 30 days from the processing time.
- General Provisions
- The timelines, percentages, and conditions mentioned herein shall be final and binding.
- Any disputes arising out of or in connection with this Policy shall be subject to the jurisdiction of Bangalore.
- This Policy may be amended from time to time by the competent authority, and such amendments shall be effective from the date of notification.
- Force Majeure / No-Refund Clause
- Notwithstanding anything contained elsewhere in this Policy, no refund shall be applicable in the event of cancellation, delay, modification, or non-performance of the tour or assignment arising due to force majeure events, including but not limited to:
- natural calamities such as floods, earthquakes, cyclones, landslides, pandemics, or acts of God;
- war, invasion, armed conflict, terrorist activities, civil unrest, riots, strikes, or political disturbances;
- any other natural or man-made disturbances beyond reasonable control;
- technical issues, system failures, or operational constraints; or
- airline cancellations, delays, rescheduling, or operational disruptions.
- In such circumstances, the company shall not be liable for any refund, compensation, or damages, whether direct or indirect.
- The decision regarding the classification of an event as a force majeure occurrence shall rest solely with the competent authority, and such decision shall be final and binding on all parties.
